As an HR Advisor you will work as part of the HR Team, currently consisting of an HR Administrator, Co-Ordinator, Business Partner, and Director and working closely with all other departments of the business.

A typical day

Some of your day-to-day tasks could include:

Customer Service and Support

  • Manage ER cases, providing advice to colleagues and managers. Liaise with the HR Business Partner as needed.
  • Coach and develop managers' leadership skills, ensuring consistent and fair performance management.
  • Address contractual queries, ensuring compliance with employment legislation/policies.
  • Support documentation processes related to employment changes, leave, contracts, and salary adjustments.
  • Ensure proper employment contracting, including work permits and Home Office schemes.
  • Maintain strong stakeholder relationships and oversee payroll summary.

Planning and Organising

  • Prioritise work to meet tight deadlines and support HR processes like reviews and pay adjustments.
  • Manage the annual salary review and reward processes, including appraisals and promotions.
  • Update employee data, run necessary reports, and support HR projects and training sessions.
  • Handle queries, deciding when escalation is necessary.

Continuous Improvement

  • Collaborate with HR leadership to enhance processes and service standards, and review recruitment success.

Further Responsibilities

  • Maintain good working relationships, communicate effectively, and assist in reviewing HR documentation, policies, and procedures. Provide training and perform other duties as requested by the line manager.

Reports to: HR Director

Applying up to date knowledge and understanding of personnel policy, employment legislation, and HR best-practice to provide advice and guidance to managers and staff on employment related issues. 

To support the HR Team to ensure a comprehensive personnel administration service and produce all relevant contractual documentation. 

PRINCIPAL ACCOUNTABILITIES:

Customer Service and Support

  • To take responsibility for the management of ER cases, including sickness management, flexible working requests, performance management plans, grievance and disciplinary processes, providing advice and guidance to colleagues and managers as required. Liaise with the HR Business partner where necessary
  • Coach and influence managers from a people perspective, developing their management/leadership skills.
  • In the absence of the HR Administrator and HR Coordinator to administer and coordinate the recruitment and onboarding process for new staff through to the point of start date.
  • To investigate contractual queries raised by managers and staff, provide solutions and produce appropriate follow up documentation, liaising with the HR Business Partner where
  • To support the HR Administrator and HR Coordinator to produce all relevant documentation, to include, confirmation of changes to terms of employment, maternity / paternity / parental leave, extensions to fixed term contracts, secondments, salary changes etc. while ensuring compliance with employment legislation and personnel policy.
  • To ensure the employment contracting of all staff is carried out according to current legislation and policies, advising departmental managers and staff as required, co-ordinating applications for work permits and other Home Office schemes.
  • Coach and guide managers with the application of consistent and fair performance management process across the business through guidance, coaching and clarity.
  • To develop and maintain collaborative and strong relationships with all stakeholders.
  • To support the HR Coordinator and have oversight of the payroll summary, ensuring that any payroll changes are detailed and communicated to the Assistant Accountant in time for payroll cut off.

Planning and Organising

  • To organise and prioritise own work activities to deliver to tight and potentially competing deadlines.
  • To support the HR Coordinator and HR Administrator in the administration of any HR processes, for example, probationary reviews, annual reviews and annual pay reviews.
  • To take ownership of the annual salary review and reward processes e.g. appraisals and promotion through the collation of paperwork, setting up meetings and committees, preparing and issuing letters, updating the employee database and liaising with finance/payroll
  • Making changes to employee data on the HR System ensuring all data is up to date by conducting annual reviews, i.e. emergency contacts and personal details
  • Run necessary reports as required, e.g. sickness reports monthly, KPIs etc
  • To support the HR team to deliver key projects and training sessions on company policies and procedures within the HR plan and People strategy to deliver continuous improvement across the business.

Liaison

  • Develop a network of contacts within the wider University to support work activities.

Decision Making

  • Deal with queries, issues and requests and make decisions over when to refer more complex situations to the HR Business Partner and HR Director.

Continuous Improvement

  • To work closely with the HR Business Partner and HR Director and other members of the Langford Vets management team to improve central processes and service standards.
  • In conjunction with the HR Business Partner, support the HR Coordinator to review the success of the recruitment process, to ensure the most effective and efficient recruitment and onboarding experience.
